Privacy Policy

Who we are

    • This website (https://adaptawiz.com) is operated by V.J. Fraser, AdaptaWiZ, registered in the Netherlands and based in Tilburg. You can contact me about this Privacy Policy at admin@adaptawiz.com. The full postal address is available on request for legal or administrative purposes.
    • This Privacy Policy explains how I collect, use and protect personal data when you visit my website and when you contact me to request information or schedule appointments.

What data we collect

    • Visitors: IP address, browser type if logs/analytics exist.
    • Contact/appointment forms: name, email, message, requested appointment time.

Embedded content from other websites

    • Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
    • These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

How and why we use your data (purposes & legal bases)

To respond to enquiries and schedule appointments

Purpose: to answer your questions, provide information about services, and arrange coaching or consulting sessions.
Legal basis: performance of a contract or steps taken at your request before entering into a contract.

To maintain and protect the website

Purpose: to ensure the security of the website (e.g. logs, security monitoring), prevent abuse and troubleshoot technical issues.
Legal basis: legitimate interests in running a secure and reliable website.

To send you updates or newsletters (if applicable)

Purpose: to share relevant updates about services, resources, or events.
Legal basis: your consent (you can withdraw at any time).

How long we retain your data

    • I keep client records (including contact details and session logistics such as dates, times and type of session) for up to 10 years after our last professional contact, unless a longer period is required by law or professional rules, or there is an ongoing issue that reasonably requires me to keep them.
    • I do not keep detailed notes of the personal content of coaching sessions; my records focus only on practical and logistical information needed to manage our work together.
    • If you contact me but we do not start working together, I keep your enquiry emails and any related notes for up to 24 months after our last contact, then delete them or anonymise them. This allows me to follow up on conversations in a reasonable timeframe while not keeping enquiry data indefinitely.
    • You can ask me at any time to delete your personal data, and I will do so where there is no legal obligation or overriding legitimate reason to keep it for longer.

Your rights under GDPR

Individuals have the right to:

    • Access your personal data and receive a copy.
    • Ask to correct inaccurate or incomplete data.
    • Ask to delete their data in certain circumstances.
    • Ask to restrict or object to certain types of processing.
    • Ask to receive your data in a portable format (where technically feasible and applicable).
    • Withdraw consent at any time when processing is based on consent (e.g. newsletters).

To exercise any of these rights, you can contact me at [admin@adaptawiz.com]. I may need to verify your identity before responding.

Where your data is stored and who receives it

    • Website and booking/form tools
    • Professional advisers and legal/administrative requirements
      • Where necessary, your data may appear in accounting records or in communications with professional advisers (for example, accountants), and in documents kept to comply with legal or tax obligations.
    • Security and spam protection
      • I may use security, hosting and spam‑detection services to protect this website and email infrastructure. These providers act as data processors and may process technical data (such as IP addresses and message metadata) only to help prevent abuse, spam and security incidents.

International transfers

Some of the service providers I use to host and operate this website and to deliver my services are based outside the European Economic Area (EEA) or may access personal data from outside the EEA. This includes the web hosting provider, Hosting.com, which offers both EU and non‑EU data centers and acts as my data processor under a Data Protection Agreement. Where personal data is transferred outside the EEA, I take steps to ensure that an adequate level of protection is in place, for example by relying on the European Commission’s Standard Contractual Clauses and by requiring providers to implement appropriate technical and organisational security measures. Further information about these safeguards is available on request.

Complaints

If you have concerns about how I handle your personal data, please contact me first so we can try to resolve the issue.
You also have the right to lodge a complaint with your local data protection authority or with the authority where you live, work, or where the alleged infringement took place.

Changes to this notice

I may update this Privacy Policy from time to time, for example to reflect changes in services or legal requirements. The latest version is always available on this page and will apply from the date of publication.
